Working in the field of real estate, our client is looking for a customer relations agent. The main role of the incumbent is to be responsible for the leasing of a housing stock according to the planned objectives, to ensure the administration of accounting and leasing in order to optimize the operations of its stock, and to ensure the management of the customer relationship with the tenants of its stock.
Example of Responsibilities
Location
-Makes announcements, implements rental strategies in collaboration with management, and conducts appointments and rental visits to the housing units in its stock in order to optimize occupancy rates;
-Prepares all the documentation and procedures necessary for the rental of the units (e.g.: building regulations, welcome booklet, SIGLS entries) and signs the leases;
-Updates lists of interest and requests for changes of accommodation for his/her housing stock. Prepares and issues lease renewal notices based on rates of increase and other anticipated amendments, all within specified time frames. Regularly updates monitoring and control tools;
-Coordinates effectively with the Director of Operations and Physical Facilities, particularly for housing repair deadlines to minimize rental losses;
-Participates individually and as part of a team, on an ongoing basis, in the optimization of ways of doing things and in the updating of processes that affect their work;
-Performs his/her work in compliance with the laws, conventions, regulations, policies, rules, directives applicable to his/her function.
Collection and administration
-Collects rents, prepares and makes bank deposits and charges them to the accounting system. Follows up on accounts receivable and collects them from tenants if necessary;
-Administers and reports on petty cash, opens accounts with vendors, performs necessary audits and updates control systems according to established policies. Assists the Management in the planning and monitoring of the budget of its housing stock;
-Ensures the entry and updating of the data necessary for the effective management of the activities of its housing stock (service contracts, suppliers). Ensures the verification of the conformity of the data entered on invoices, purchase orders, delivery notes and other documents;
-Codifies invoices according to budget codes, and performs invoice entry in the correct accounting software. Performs filing, copying, scheduling, etc. Responds to customer inquiries related to their rent, account, etc. Prepares rental and management reports;
Customer Relationship Management
-Manages at the first level all neighborhood complaints and claims related to the rental of housing according to various regulations, standards, procedures and programs (e.g., telephone notices and discussions, formal opinions, reflection on possible solutions, etc.);
-Acts as the company's agent at the Régie du logement in contentious cases and acts as a witness, as the case may be. Represents the company and pleads with the Régie du logement in cases involving rent fixing, lease termination for non-payment and property damage recovery cases;
-For any other reason, with the authorization of his/her superior, recommends and proceeds with requests for service to the legal department or an external lawyer, if necessary;
-Ensures the administrative preparation of contentious files for a hearing;
-After authorization from his/her superior, recommends and proceeds with any request to another service, in particular the service of a social worker;
Other
-Performs, in the absence of other customer service agents, duties that are normally outsourced, in order to ensure the operations, including rental and customer support activities;
-Also, from time to time, when required, ensures the replacement of the Reception and Support Activity Attendant.
Profile sought:
-High knowledge of office automation and common software (Excel, Outlook, Word);
-Excellent knowledge of spoken French;
-Excellent oral and writing skills in French (report, etc.);
-Good knowledge of spoken and written English;
-Good knowledge of invoicing rules;
-Experience in lease management (an asset);
-Be organized, calm, able to work in a team, honest, discreet and patient;
-Great customer service skills while ensuring compliance with rules.
